Overview

The Operational Excellence Program Assistant is responsible for providing direct assistance to Operational Excellence Leadership, including data and logistical support for projects, to meet department targets.

 

The Operational Excellence Program Assistant will support strategic and operational projects related to process and quality improvement. The Operational Excellence Program Assistant will participate in and contribute to multiple ongoing and new projects in the Operational Excellence department, specifically through document and data collection, review, storage, and tracking. As directed by Operational Excellence Leadership, the Operational Excellence Program Assistant will provide support in implementing and deploying strategic plans for all levels of the business in conjunction with Allied Reliability’s Operational Excellence model and the Quality Management System.

Responsibilities

  • Work with team and internal business segments to identify required documents, files, records, reports, etc. for Operational Excellence improvement projects.
  • Support creation of data collection forms, materials, and storage systems. Execute data collection assignments.
  • Support distribution and tracking of data collection survey invitations.
  • Conduct phone and email outreach to internal customers to request support, check on status of requests, and/or schedule project meetings.
  • Provide support on team calls, specifically during data gathering interviews with internal customers.
  • Collect and summarize required data and materials as identified by cross-functional teams; conduct preliminary review for completeness of materials; store materials in a clear, consistent manner for easy retrieval; and update project requirements tracker with materials status.
  • Properly secure data, audit data that has come in, and schedule next meeting steps when applicable.
  • Support analysis phase of Operational Excellence improvement projects as directed by leadership.
  • Prioritize tasks based on team and internal customer needs and requirements.
  • Provide status updates to leadership on the results of the assigned activities and identify any potential obstacles that may require further investigation.
  • Utilize and update dashboards, reports, and other visual measurement tools to track progress on department projects and goals.
  • Utilize business system reports (P21, CRM, marketing automation, etc.) as needed.
  • Other duties as assigned.

  • Timely and satisfactory completion of business and team support projects.

  • Understanding of the goals of Allied’s Operational Excellence Model and the processes, tools, and reports that support its implementation.
  • Solutions identified support overall efficiency and productivity improvements, delivering on Allied’s business goals.

Qualifications

Knowledge/Skills/Abilities

  • Strong technical knowledge to support use of various digital platforms and programs, i.e. SharePoint, Smartsheet, MS Office, etc.
  • Ability to gather, analyze, and clearly convey information.
  • Outstanding attention to detail with superior time management and organization skills.
  • Strong verbal and written communications skills.
  • Demonstrated ability to meet multiple simultaneous deadlines consistently.
  • Ability to effectively work with cross-functional teams.
  • Dedicated self-starter with ability to excel in a fast-paced, team environment.
  • Ability to quickly grasp project requirements and recommend solutions for tracking, managing, and reviewing performance of those requirements.
  • Exceptional analytical and conceptual thinking skills.

 

Education and Experience

  • Bachelor’s degree in business, technical, or related field preferred; may be waived if demonstrated capabilities clearly indicate experience
  • 3 years of experience in data gathering, analysis, and/or administrative support
  • Audit, quality control, and/or project management experience a plus
